MOVE Logistics, a contract warehousing and transport provider headquartered in Christchurch, New Zealand, faced growing pains as business expanded and its purchase order (PO) process became inefficient. Handling roughly 2,500 invoices a month, the finance team struggled with invoices missing POs or quotes, handwritten paper POs that required manual approver lookups, long approval wait times, difficulty matching invoices to orders, and time-consuming manual data entry into Xero — with no standard way to store, search or track PO status.

By implementing Laserfiche integrated with Xero, MOVE automated PO creation, routing and approvals: Xero data auto-fills Laserfiche forms, electronic POs are sent to the correct approver, approved POs receive unique numbers and PDF links, and invoice data is pushed back to Xero. The result is faster approvals, greater visibility across the purchasing process, significantly less manual work for finance, and the ability to process higher volumes without increasing staff.
