Kentucky Sanitation District #1 (SD1), the second-largest public sewer utility in Kentucky, faced mounting records challenges: paper-heavy file stores, hard-to-find documents during audits or litigation, inconsistent employee filing of documents and emails, and poor adherence to the State of Kentucky's Local Government Retention Schedule that led to over-retention and wasted space.
Using Laserfiche Records Management Edition and a five-step implementation (identify, set goals, plan, execute, maintain), SD1 scanned paper files, automated retention rules, simplified its retention schedule with a "big bucketing" approach (reducing HR retention periods from 25 to 10), and implemented policies, workflows and targeted training with departmental liaisons. The result was streamlined, transparent records management, consistent compliance with the state retention schedule, improved findability and audit readiness, and reduced storage and legal risk.
