Hurunui District Council, a rural New Zealand local authority serving about 11,000 residents across 18 towns, faced a breakdown of its legacy document management system and a rapidly growing volume of records that strained control, retention and service delivery. The council needed an affordable solution that integrated with its Napier financial/business system, supported multiple repositories and versioning, and could connect its main office with five satellite sites.
Laserfiche was deployed quickly across the organisation, using Quick Fields, Import Agent and Workflow to migrate more than 500,000 legacy documents (with ~800,000 more files planned) and to automate about 120,000 consents and licence records via metadata templates. Versioning and check-in/check-out ensure single authoritative documents, reducing manual errors and staff time, speeding searches and improving customer service — with plans to extend the system to mobile access and forms.
