How Thompson Investment Management Uses Laserfiche Workflow to Automate Correspondence Management

Thompson Investment Management (TIM) is an independent registered investment advisor in Madison, WI, managing investments for over 500 clients and subject to strict document-retention rules such as the Investment Advisers Act of 1940. A high volume of client correspondence—emails, trade communications, complaints and monthly letters—needed consistent capture, filing and long-term storage, creating a time-consuming compliance and records-management challenge.

TIM implemented Laserfiche using a SNAM-based metadata scheme, an Incoming folder plus Workflow rules that route documents automatically to client folders (or a “Folder Not Found Errors” queue when identifiers are missing), and Quick Fields to extract data from custodian statements and monthly letters for auto-population and renaming. The result is faster, more visible processing, a uniform naming convention that simplifies search and retrieval, centralized client document storage, and plans to integrate Laserfiche with the client database to automate metadata further.
