The Township of Springwater in Ontario implemented Laserfiche to centralize records and improve information access, but the real challenge was not the software— it was changing how people worked and winning organization-wide buy-in from Council down to end users. Leaders knew that without broad acceptance the project would falter, so they focused on addressing concerns, habits, and departmental silos early in the process.
They formed a four-person, cross-functional project team and created a unified vision (branded as SHARED) while working top-down to secure stakeholders’ support. The team kept communication constant with branded updates, training, diagrams, a Quick Reference Guide, a single help email and “Ask Me” support, replicated future file structures on network drives, phased out paper gradually, and introduced digital to‑do lists to replace paper piles. The result was broad acceptance even before launch, smoother transition, better staff efficiency and information access, and improved customer service.
