How the Indio Water Authority Manages Capital Improvement Projects and Work Orders with Laserfiche

Indio Water Authority’s engineering department handles a high volume of work orders and capital improvement project (CIP) inspections—from residential leak checks to road repaving—and was spending excessive time on manual paperwork and photo management. Staff previously printed and filed work orders (costing about 20% of their time) and inspectors had to email photos to themselves, return to the office to rename and store them, adding at least 10 minutes per inspection before files were available to the team.

The Authority implemented Laserfiche Quick Fields with Zone OCR and pattern matching to automatically extract work order metadata, rename files, and route them to the proper folders, and deployed Laserfiche Mobile so inspectors can capture photos, add metadata via templates and speech-to-text, and save images directly to the repository. As a result, work orders are instantly searchable (eliminating the 20% filing/search burden) and inspectors save roughly 10 minutes per inspection with photos available to everyone immediately.
