The City of Springfield faced a challenge in its accounting department, where auditors and employees struggled to manage journal entry documents stored across disparate systems. Hard copies were often misplaced, making the annual audit a difficult and inefficient process. To address this, the city leveraged its existing Laserfiche enterprise content management system to create a more streamlined approach.
Laserfiche was integrated with the city's PeopleSoft system to automate and digitize the journal entry workflow. The solution used a SQL database lookup to create direct links from journal entries in PeopleSoft to their corresponding digital document packets in Laserfiche. This integration, supported by Laserfiche Workflow for automated routing and review, eliminated missing documents and made the entire process transparent. For the City of Springfield, Laserfiche delivered a quick and efficient audit process, enabled simultaneous access to documents from a centralized location, and ensured timely reviews.
