How the City of Highland Village Automated Procurement with Laserfiche

The City of Highland Village, an 18,000-resident municipality north of Dallas, needed to modernize a paper-based procurement process that required manual data entry across multiple systems and made tracking approvals, receipts and compliance difficult. The city wanted better-organized records, automated purchase order issuance and faster resolution of invoice discrepancies while maintaining fiscal responsibility.

Working with reseller DocuNav Solutions, Highland Village integrated its existing Laserfiche system with the Incode finance application to scan, route and archive quote packages, receiving reports and invoices; Laserfiche Snapshot and modular Laserfiche Workflows pull metadata from Incode, automatically rename and file documents, email purchase orders, and log lookup errors for troubleshooting. The result: purchase order processing dropped from about four hours to 30–45 minutes, human error and manual filing were largely eliminated, transparency and regulatory compliance improved, and accounting can now more easily match and pay only fulfilled orders.
