How Texas Tech University Health Sciences Center Manages a Paperless Initiative

Texas Tech University Health Sciences Center (TTUHSC), part of Texas Tech University in Lubbock, implemented a paperless initiative to streamline records management across a large campus with diverse departments. The General Services scanning bureau faced the challenge of converting high volumes of paper — about two million pages per year — while overcoming departmental resistance to change and standardizing how documents and metadata were organized.

TTUHSC secured buy-in with a Finance & Administration pilot, involved staff in template and workflow design, and ran small scans (1–2% samples) for user trials. A centralized scanning operation managed by one full-time employee and student workers follows a four-step process (prepping, scanning with VRS, indexing, QA) and uses Laserfiche WebLink, Quick Fields and Forms to automate indexing and allow departments like Accounting to import documents directly. The result: faster access to records, streamlined scanning operations, similar or reduced processing time compared with prior manual batching, wider departmental adoption, and improved compliance and document retrieval.
