How Tarrant County College Processes Veterans Administration Paperwork

Tarrant County College District (TCCD), one of the largest and fastest‑growing community college districts in the region, faced a time‑consuming, paper‑heavy process for handling Veterans Administration (VA) benefits paperwork. Students had to submit packets to their home campus, files often contained 10–300 pages, missing forms required repeated campus visits, and records were stored in a vault that made retrieval slow and cumbersome.

TCCD implemented Laserfiche to scan documents at any campus, import emailed forms with Laserfiche Snapshot, and bring online “green sheet” submissions from Ellucian Colleague into the repository via Quick Fields. A VA template and automated workflows look up Colleague IDs, merge or create VA packets, route missing‑data cases, and notify staff for certification. The automation sped processing, eliminated vault retrieval, allowed students to submit at any campus or by email, and freed seven employees to work on other projects.
