Learning ARTS provides in‑home learning programs to more than 400 children with autism and other cognitive disabilities across eight locations. Their legacy paper processes—binders of Verification of Services (VOS) forms kept in clients’ homes and daily printed payroll reports—made onboarding, program updates and billing slow and error‑prone, with payroll checks requiring up to four hours and 200 pages printed daily and program changes taking as long as two weeks to take effect.
By implementing Laserfiche Forms, a centralized repository, tablets for in‑home technicians, and automated workflows (including a custom script to generate billing CSVs), Learning ARTS digitized onboarding, timekeeping and billing and integrated data into a web portal for automatic payroll calculations. The result: a fully paperless payroll process, elimination of manual data entry (saving about 20 hours per week), billing processed within 24 hours, reduced printing costs and immediate access to client information so programs can be adjusted daily.
