A Laserfiche Case Study
Eastern Carver County Schools, a district in the southwest suburbs of Minneapolis serving 9,600 students across 13 sites, faced a growing records-management burden: student files had to be retained for years (or indefinitely), consuming physical storage and creating delays when students changed schools. The district needed a secure, searchable electronic system integrated with its Infinite Campus SIS to eliminate paper flow, ensure timely access, and maintain compliance with state retention rules.
The district implemented Laserfiche to create digital cumulative folders for each student, organized by Infinite Campus school ID and document type. Records are scanned at intake points, tagged with a Student General template, and Laserfiche workflows query Infinite Campus to populate metadata, rename and route documents, invoke special workflows (for health or legal items), and run nightly synchronization and automated moves when school assignments change. The result: no more manual file transfers, reduced risk of lost documents, improved compliance and security through role-based access, and faster interdepartmental notifications for withdrawals, address changes, and health approvals.
