Caduceus Inc., a New York–area medical services firm that handles revenue cycle, scheduling and credentialing, was struggling with a slow, error-prone refund process. Refunds were tracked in a minimal database and handled with paper packets (coversheet, invoices, EOBs, proof of payment) that took about an hour to compile and spent days moving desk to desk; the system wasn’t integrated with the IDX billing system and required manual status updates, leading to obsolete documentation and processing delays.

Caduceus implemented Laserfiche Workflow with a folder structure that mirrors each refund step, automated folder creation and metadata population from IDX, and two scheduled workflows to keep Laserfiche and IDX in sync and update refund amounts.
