The City of Denton, Texas replaced an overflowing paper-based records system that filled 15 five-drawer file cabinets in 300 square feet and bogged staff down with time-consuming searches, copying and manual redaction. With nearly 8,000 job applications a year and long delays locating or returning files, HR and other departments needed a scalable, searchable solution to reduce lost documents, free physical space and speed routine processes.

After a successful pilot, Denton implemented Laserfiche with reseller DocuNav and integrated it with its JD Edwards HRIS, online application portal and intranet (WebLink) to automate workflow, indexing and secure access. HR digitized all personnel files in six months, eliminated a full-time file clerk, cut open-records processing to 8–13% of prior effort, reduced filing times from weeks to a day, and extended use across library, fire, engineering and other departments—earning the city a “Best of Texas” award for innovation.
