Chinook’s Edge School Division, a rural Alberta district serving 11,000+ students across 43 schools, faced a mountain of paper and process pain around field trips: parents had to re‑sign multiple duplicate consent and medical forms up to 10 times a year, teachers spent hours preparing trip paperwork, and administrators worried about inconsistent consent practices and liability during outdoor excursions.
Working with Laserfiche and Inspiris, the division consolidated guardian and medical consents into a single pre‑fillable electronic form and automated approvals, payments (Rycor) and student data updates (PowerSchool). In the first year the system processed 758 trips, saved an estimated 3,250 teacher hours (~$100,000), eliminated 57,000 sheets of paper (1,750 kg CO2), reduced teacher prep time from four hours to 30 minutes and allowed trip oversight by just three staff — improving efficiency, record integrity and risk management.
