Chesterfield County - Customer Case Study

Laserfiche, as implemented by Chesterfield County's systems administrator, faced the common challenge of a first-time records-management deployment: translating paper workflows into efficient electronic processes while defining workflows, metadata and security for large volumes of documents and ensuring users could reliably find and manage records. The biggest hurdles were getting metadata right and managing the "people challenge"—training, permissions and consistent processes—so the system wouldn’t be undermined by human error.

The team addressed this by performing upfront workflow analysis, designing constrained, minimal metadata fields assigned at scan time, centralizing scanning, tightening permissions, and training departmental "champions," following an eight-step repository rollout (start small, test, train, deploy, review). The result was a smoother, more secure launch with faster searchability, reduced errors through automation, clearer roles and a scalable foundation for expanding the Laserfiche system.
