Automation Doesn’t Have to Eat Your IT Budget

YMCA Of Metro Chicago, a large nonprofit serving roughly 100,000 members across Chicagoland, needed to replace aging Lotus Notes workflows that made printing, tracking and approving facility rentals and licenses difficult. With limited IT budget after heavy software spending, they sought an affordable, easy-to-build workflow solution that integrated with G Suite—so they turned to Kissflow’s workflow/automation platform.

Kissflow was used to build processes like Facility License Agreements and Campus Events approvals (about 20 apps created), eliminating email-based approvals by enabling mobile and in-app approvals, providing printable receipts/contracts, and surfacing process data for continuous improvement. Kissflow’s Smart Action Gmail approvals and Google integration (including sign-in and 2FA) sped decisions, improved visibility and usability for staff and leaders, and made future automation expansion practical for the YMCA.
