A streamlined, central place to manage contractors for the University of Wollongong

The University of Wollongong (UOW), with nine campuses, over 2,470 staff and more than 30,000 students, needed to replace a manual, paper-based contractor induction and compliance process that varied across sites. UOW required an Australian-based, cost-effective solution to centralise contractor work health and safety information, automatically monitor insurances and licences, and deliver consistent, legally compliant induction training while managing stakeholder expectations about what the system would cover.

e3Learning (now part of Kineo) implemented SitePass: a branded central portal where contractors self-register, upload licences and qualifications, and are verified by UOW reps; verified contractors receive QR-coded induction cards. Custom online induction courses are automatically assigned (with additional modules by role), and the system tracks external training, sends custom notifications and stores compliance data centrally. The result is improved oversight and consistent, campus-wide contractor compliance—currently used by 61 contracting companies and 179 users—with initial resistance overcome and positive feedback on service and ongoing development.
