MIT Rental Department Optimizes Efficiencies With KiBiz System

MIT’s Audiovisual Rental Department needed a way to manage equipment and technicians for more than 100 events a day. Using a legacy FileMaker system and a physical wall-mounted job board created scheduling bottlenecks, manual dispatching, and fragmented billing. KiBiz Systems was brought in to modernize the department with its KiBiz Equipment Rental System and a custom mobile app, Find My Job.

KiBiz Systems implemented a customized KiBiz Rental setup that imports web requests, auto-creates event-specific tasks, provides a campus-wide electronic Job Board, offers the Find My Job mobile view for technicians, manages inventory and maintenance, and automates statements, overtime calculations, and posting to MIT’s accounting system. As a result, MIT moved from printed cards on a wall to live, real-time dispatching, improved technician accountability and schedule visibility, and automated billing and inventory workflows—enabling efficient management of 100+ events per day and reducing manual paperwork.
