Streamlining Campus Mobility Automated Vehicle Access at Wallace Community College

Wallace Community College faced significant logistical challenges in managing access to its state fleet vehicles. Faculty and staff were dependent on a manual key distribution process handled by only two staff members, which led to significant delays and an inability to access vehicles when needed. This inefficiency disrupted time-sensitive academic operations. The college also struggled with a lack of real-time visibility into vehicle usage, making maintenance scheduling difficult, and leaving keys out for access introduced major security risks.

The college implemented Keycafe's smart key management system to automate the process. The solution involved a Keycafe SmartBox that dispenses keys. After a vehicle request is approved, Keycafe automatically sends the driver a unique access code valid only for their booking duration, enabling 24/7 self-serve key pickups and drop-offs. The results were immediate, eliminating wait times for instructors and providing the transportation mechanic with the visibility needed to schedule maintenance effectively. Keycafe transformed day-to-day operations, leading to overwhelmingly positive feedback and a notable increase in user satisfaction on campus.
