Surrey Police, the territorial police force for the county of Surrey, faced a growing backlog of Occupational Health (OH) paperwork stored in on-site filing cabinets that consumed space, risked loss, and made record retrieval slow and time-consuming. To move to an electronic OH system (Cohort) and improve security and compliance, Surrey Police engaged Kefron to provide secure document conversion and scanning services.
Kefron vetted staff to MPP Level 2, collected 10 crates every two weeks over a 3–4 month rollout, scanned records with OCR, performed continuous quality checks, and delivered encrypted hard drives for secure upload into Cohort (later directly uploading and securely destroying paper records on a follow-up project). The migration gave Surrey Police instant, multi-location access to OH files, stronger security and backups, improved GDPR readiness with auditable PII handling, higher-quality scans, and a significant reduction in admin time.
