How an adoption authority transitioned to a more digital way of working

The Adoption Authority of Ireland, the state body responsible for custody and preservation of all national adoption files, faced the challenge of safeguarding irreplaceable, varied-format records while making them accessible to disparate end users. To move away from reliance on physical files and enable searchable access and stronger governance, the Authority engaged Kefron for on‑premise scanning, data capture and indexing services.

Kefron deployed an on-site team, specialist high‑volume hardware/software, a central tracking database and interim hosting via the Kefron DM Portal to scan, paginate, index and upload records into the Authority’s Docuware repository. Delivered over a twelve‑month managed service during the Covid‑19 pandemic, Kefron produced an accurate, fully searchable electronic database on time and on budget, improving traceability, auditability and secure user access while preserving the Authority’s irreplaceable records.
