Stonewater, a UK social housing provider managing around 34,500 homes, was receiving about 140 housing benefit schedules per month—many in PDF or paper form—that required hundreds of lines of manual data entry into their Housing Management System. This repetitive, error-prone process consumed dedicated resource time and caused data delays. Stonewater engaged Kefron in April 2022 to address this challenge, adopting Kefron’s scanning and capture services.
Kefron implemented template-driven data capture, receiving schedules via a secure FTP, automatically extracting line-level data and delivering CSV files for upload into Stonewater’s system. The solution eliminated manual entry, processed over 554 schedules in the first five months, and saved about 40 hours of processing time per month. Kefron’s service improved data accuracy, auditability and compliance, freed staff for higher-value work, and increased customer satisfaction.
