How a leading provider of education achieved visibility of legacy records

Dublin Business School, Ireland’s leading independent third-level institution with over 9,000 students, needed to digitise a large backlog of exam-related files—some nearly 15 years old—whose inconsistent formats and naming conventions made retrieval slow and error-prone. To eliminate misfiling risk, reduce physical storage burdens, and improve access, DBS engaged Kefron for Scanning, Data Capture and Indexing Services.

Kefron ran a controlled conversion process (preparation and labelling, collection, specialist scanning and exception handling) and securely delivered indexed images via SFTP, following ISO 15489 standards and managing reassembly and authorised destruction of originals. As a result, Kefron freed office space, dramatically sped up record checks—from up to a week down to minutes—improved remote access and customer support response times, and saved significant staff time.
