How a housing association slashed supplier payment times

Wales & West Housing, which manages more than 12,000 affordable homes and employs around 800 people with a 36-strong finance team, faced time-consuming paper workflows across multiple offices, late supplier payments averaging 32 days, frequent duplicate invoices, and burdensome audits. To address these challenges they engaged Kefron for an Accounts Payable invoice automation solution (integrated with Open Accounts advanced) to digitise and centralise invoice processing.

Kefron delivered the solution after a requirements workshop, building separate databanks for purchasing and maintenance, providing user training and support, and taking the system live. The Kefron AP implementation cut end-to-end payment times from 32 to 17 days (a 46% reduction), made the process 100% paperless, reduced duplicate payments to just 7 out of 10,000 invoices over six months, enabled weekly payment runs, and freed the finance team to focus on higher-value work.
