Nationwide Supports Digital Transformation with Expense Management

Nationwide, the world’s largest building society with 18,000 employees across ~700 branches, wanted to modernise expense management to support its digital-transformation and employee-productivity goals. The Finance team faced frequent lost receipts, slow reimbursements, high administrative overhead (particularly for PAs), limited audit visibility and a need to mandate digital receipts while improving controls and reducing costs.

Nationwide upgraded from KDS Classic to KDS Neo, deploying mobile receipt capture, improved approval workflows, auto-expense features and faster validation of digital images—handling around 5,000 expense reports a month with minimal disruption. As of 1 August 2016 they moved to 100% digital receipts, reduced reimbursement cycles and non-compliance, cut administrative costs, removed paper archives, and improved visibility and control; the small four-person project team delivered the rollout internally for just £1,600 and won a Team Recognition Award.
