How Thomas International elevated their hot-desking system in times of COVID

Thomas International, a workplace technology company, needed a safer way to manage hot-desking and office attendance as COVID restrictions limited desk capacity. Their initial idea was to use a shared spreadsheet, but that would have been hard to manage accurately and wasn’t easy for employees to use on mobile devices. To solve this, they looked for a desk booking solution and chose Joan, which they already used for meeting room bookings.

Joan’s Desk Booking app let Thomas International upload their own floor plan, mark desks as available or unavailable, and allow employees to book desks from their phones using a simple onboarding process. The rollout was smooth, supported by a short internal training video and magic links for access. As a result, Thomas International could track office occupancy, structure in-office days, and give employees confidence that they could return to the office safely and collaboratively, with no spreadsheets required.
