Kuali is a non-profit community of 50+ universities building open-source administrative systems, and its Kuali Coeus project set out to modernize research administration across a geographically distributed volunteer team. The project faced steep coordination challenges—thousands of growing requirements, inconsistent processes and weak test discipline while relying on spreadsheets and Word documents—making traceability, collaboration and measurable QA difficult.
Jama donated its requirements-management platform and services, giving Kuali Coeus a centralized, traceable hub for requirements, test cases and defects, plus customizable reports and a “community of testers” workflow. The result: disciplined test analysis, faster onboarding, and real-time visibility that enabled the team to scale from about 1,300 to thousands of requirements (v2.0 reached ~7,000 and the repository now exceeds 20,000 items), deliver the v2.0 release on time with higher quality and greater efficiency, and reduce manual overhead across participating institutions.
