Oklahoma State University faced the challenge of modernizing and scaling its procurement across multiple campuses—moving from paper-based bids and fragmented records to an end-to-end, transparent sourcing process that could support open-records requests, increase competition, and allow the team to work remotely. The university had already been using the JAGGAER procure-to-pay solution, and Chief Procurement Officer Scott Schlotthauer prioritized expanding that implementation to include JAGGAER Sourcing to eliminate paper, improve accountability, and speed procurement workflows.
JAGGAER implemented its Sourcing module in just 10 weeks, enabling OSU to run roughly 900 sourcing events, digitize records (eliminating about 18 filing cabinets), and expand bidder pools from a few vendors to eight–ten or more for many procurements. The system delivered measurable benefits: an estimated 80% reduction in time spent retrieving information, 24/7 access for a lean 10‑person team, smoother multi‑agency bids, and double‑digit cost savings on electronic sourcing events.
