Using Move Management to Gain Visibility into Seating Arrangements

UFG Insurance, a Cedar Rapids–based insurer founded in 1946 with about 1,100 employees across eight U.S. office buildings, needed better visibility into seating, meeting-room sizes and employee locations. Manual moves, difficulty finding coworkers and conference rooms, and a chaotic parking allocation process made facilities management time-consuming and error-prone, and UFG wanted data to drive utilization tracking and departmental chargebacks.

After an RFP UFG implemented iOFFICE—using move management, desk hoteling, space data, floor plans and the Hummingbird mobile app—to centralize move requests, automate desk assignments for new hires, and give employees easy ways to find coworkers and rooms. The solution streamlined moves, simplified parking allocation and verification, produced accurate departmental square-footage for finance chargebacks, and is being rolled out to four additional buildings.
