The Toledo Police Department, a 681-employee agency with 33 sections that once maintained separate spreadsheets and paper processes, faced heavy administrative burden, frequent scheduling errors, poor communication and difficulty enforcing union rules. To address these challenges they adopted InTime’s scheduling solution to replace 792 annual manual schedules, cut down on cross-referencing and improve real-time visibility across stations.
InTime consolidated all schedules into a single live master schedule, provided mobile access and automated rosters and OT/event sign-ups, and enabled mass SMS/email notifications. As a result InTime delivered an 83% reduction in scheduling time (scheduling administration cut from 6 staff to 1), a 90% reduction in daily roster creation (from ~1 hour/shift to 6 minutes), and a 97% reduction in OT and events management (overtime assignment now takes about 10 minutes), while improving transparency and equitable overtime distribution.
