Transforming Donation Processes with Powerful Digital Workflows

The University of Houston, a large public research university with more than 1.5 million donors and over $1.1 billion in gifts in 2019, faced slow, paper-based donation processing. Phone gifts required gift processors to fill Excel sheets, email and physically route documents for approvals and signatures, and re-enter data into systems, creating bottlenecks and data-entry errors.

Using the Formstack Platform (Forms, Documents, and Sign), the advancement team built a secure, end-to-end digital donation workflow: gift preparers enter data into a form that auto-generates documents, routes them for electronic approval and signatures, and sends automated reminders. The change eliminated manual entry and paper processes, improved data security and compliance, reduced bottlenecks, consolidated tools, and prompted wider adoption across other university teams.
