Emerald City Theatre (ECT), Chicago’s largest theater for young audiences, runs the Showtime for CPS Readers: Magic Tree House program to deliver a livestream performance and companion book free to all second- and third-grade classrooms in Chicago Public Schools. Faced with registering more than 1,250 classrooms across 400 schools, collecting classroom technology and contact details, and tracking teacher interest to tailor communications, ECT needed a fast, organized way to manage large-scale outreach and data collection.
ECT used three Formstack forms plus a Salesforce integration to solve the problem: a multi-classroom registration form (with contact info, tech specs, student counts and an “application interest” field) that enabled deduplication and targeted emails, a parent/partner notification form that sent automated confirmations to teachers, and a residency application form. The effort registered 80% of CPS second- and third-grade classrooms (nearly half in high-poverty settings), reached students in all 50 wards, provided 60,000 students with 90,000 books, and selected 280 students for residencies and field trips.
