Building a Better Call for Proposals Process

eduWeb, a community for higher-education professionals that runs the annual eduWeb Digital Summit (500+ attendees from 15 countries), needed to overhaul its call-for-proposals process as it moved the event from in‑person to fully virtual. Collecting, tracking, and storing information for 100+ speakers across multiple tools risked data loss and inefficiency, so they sought one system that would centralize conference data and integrate directly with their key platforms.

eduWeb implemented Formstack as a central data hub, using Conditional Logic, Save & Resume, custom themes, and integrations (MailChimp, Google Sheets) to create a seamless CFP application and submission workflow. The result was centralized and secure data, a streamlined proposal process with faster applicant responses, automated data sharing to mailing lists, and an improved, tailored user experience.
