Automating International Visa Letter Requests

The University of Michigan’s Office of University Development Events handled thousands of international visa invitation requests for commencement with a largely manual workflow: students emailed requests, staff drafted, printed, and mailed letters, and growing international enrollment overwhelmed the team—at one point requiring a temp—while turnaround could take 2–4 weeks.

By connecting Formstack Forms to Formstack Documents, the events team built a template-driven, no-code workflow that automatically generates a PDF letter from each form submission and emails it to the student. The automation, configured once a year, cut turnaround to same-day delivery, saved hundreds of staff hours and thousands of dollars, and now produces over 5,000 automated letters annually while supporting other commencement processes.
