University of Central Florida cuts transcript holds by 41.7% with Instructure

The University of Central Florida, a top transfer institution, faced significant operational bottlenecks due to the manual processing of nearly 21,000 incoming transcripts annually. Their outdated workflow required staff to manually download, separate, and review documents, a time-consuming process exacerbated by an unreliable OCR system. To overcome these inefficiencies, UCF partnered with vendor Instructure to implement its Parchment Receive Premium and Data Automation services.

Instructure's solution automated the delivery and data extraction of transcripts, loading them directly into UCF's Slate CRM and PeopleSoft system. This modernization delivered immediate results, including a 51% acceleration in finalizing transfer credits for incoming students and a 41.7% reduction in student holds due to faster processing. The automation eliminated manual work, freed staff for higher-value tasks, and greatly improved data integrity and the overall student experience.
