Making Paperless a Reality School District in Nashville Area Goes Paper-free

Rutherford County School District in Murfreesboro, Tennessee, faced a major records-management challenge: thousands of personnel files filled three rooms and had to be maintained securely for the life of each employee. The district needed a way to convert hundreds of thousands of paper documents to digital form while handling hand-signed forms and improving space usage, productivity, and confidentiality.

To address this, Insight provided an Epson-based paperless filing solution built around four Epson DS-860 scanners, a local server, scanning software, and off-site/cloud backups. The system enabled the district to scan, index, and store documents quickly—at about 65 pages per minute—helping the HR team finish scanning the existing files in about 3.5 months, reduce filing tasks from days to under two hours for a large mailing, and improve search speed, security, and access to records.
