Case Study: East Sussex Healthcare NHS Trust improves patient record tracking with Idox iFIT

Implementing digital tracking technology to transform the management of patient records

East Sussex Healthcare NHS Trust needed a better way to manage patient records across four hospitals and seven separate libraries. Records were difficult to store and retrieve, temporary files were common, and poor audit trails made it hard for staff to track documents. Idox provided its iFIT hospital inventory and records management solution to help the Trust streamline storage and improve visibility.

Idox implemented RFID-based tracking, barcode tagging, and integration with the Trust’s EDMS to create a more reliable, real-time audit trail and support day-forward packs. The result was a major reduction in temporary records, from 6.6% to around 0.6%, plus less storage space needed, improved access to records, and no more appointment delays caused by missing files. Idox also helped the Trust centralise its libraries and progress toward a more digital, shared record system.
