NHS Tayside, the Scottish Health Board operating major hospitals across Angus, Dundee, Perth and Kinross, was struggling with growing health records volumes and limited storage capacity. Its existing case note tracking was too limited, and the manual CHI-order filing process was labour-intensive, time-consuming, and space-hungry. To address this, NHS Tayside worked with Idox and its iFIT hospital inventory and records management platform.
Idox implemented the iRecords solution with GS1-compliant location coding, RFID sensors, handheld devices, and automated business processes to improve tracking, storage, retrieval, and auditing of case notes. The results were significant: NHS Tayside saved 20.4 WTE in the first six months, halved daily filing time from 60 hours to 30, and increased available library storage by 20%. The system also delivered a full electronic audit trail, improved missing-record monitoring, and supported over 525,000 tagged records.
