RFM Group, a UK property services business headquartered in Leeds with offices in London and Edinburgh, needed a better way to manage its rapidly growing facilities management operation. Its manual approach using spreadsheets and legacy systems had become difficult to maintain across thousands of service entries, making updates, reporting, and day-to-day administration increasingly inefficient. Vendor Idox, through its CAFM Explorer platform, was brought in to help modernise FM operations.

Idox implemented CAFM Explorer in 2016 to give RFM Group a single digital system for managing help desk activity, planned preventative maintenance, and asset data. The solution improved visibility of assets, costs, and risks, automated work allocation and reporting, and helped the team produce tailored dashboard reports for clients with weekly and monthly KPI and SLA updates. As a result, RFM Group improved customer satisfaction, saved administrative time, and gained better control over compliance, lifecycle planning, and supply-chain management, with the company now also considering a move to the cloud.
