Achieving financial savings and driving patient safety with Idox

Hull University Teaching Hospitals NHS Trust needed a more modern, cost-effective records management process to improve patient safety and reduce inefficiencies across its busy health records libraries. The Trust’s files were being moved between overflow areas, tracked inconsistently, and stored using a numerical filing process that made retrieval slow and resource-intensive. Idox’s iRecords, part of its iFIT hospital management and tracking platform, was selected to help streamline storage, tracking and retrieval of case notes.

Idox implemented fixed RFID passive readers, sensors and handheld devices to track record movement across the Trust’s sites, while iRecords created automated pulling lists and faster location-based filing. The results were significant: shelf space increased by over 15%, records were filed 80% quicker, and 11.4 WTE were saved in the first five months. The Trust also achieved 99.5% record retrieval, filed notes within an hour, and reached many of its 12-month savings targets ahead of schedule.
