The University of Notre Dame’s First Year of Studies was hampered by paper-based processes and information silos—advisors worked across 18 separate Access databases plus spreadsheets and physical files—making it difficult to serve students effectively, maintain data integrity, and gain department-wide visibility. The fractured system impeded advising workflows and slowed routine tasks like course drop processing.
Deploying OnBase case management, integrated with Banner, created a single digital student file that provides advisors with real-time data, documents, visit notes, task management, and secure audit trails from one interface. The solution improved advisor efficiency and student service, gave dean-level dashboards and reporting for better workload and trend visibility, sped up processes (e.g., finishing course drops three days earlier), and delivered rapid value without custom development—positioning Notre Dame to scale the approach across other programs.
