Kwik Trip is a family‑owned convenience retailer with 640 locations and 21,000 employees across Minnesota, Iowa and Wisconsin. Its centralized HR shared‑services team struggled with cumbersome paper files, siloed processes, underperforming document retention and large storage needs that made employee file management slow, error‑prone and space‑consuming.

Kwik Trip expanded its existing OnBase deployment into HR to centralize 2 million digitized documents, enable store scanning with rapid FTP ingestion, and replace paper workflows with standardized online forms. The solution delivered real‑time visibility, custom searches, automated retention/purging rules, role‑based security, elimination of five Access databases and reclaimed office space—resulting in faster processing, stronger data security and more efficient HR operations.
