California State University East Bay, a diverse campus of more than 14,000 students, struggled with slow, error-prone manual processing of over 20,000 incoming transcripts during peak admissions. The labor-intensive data entry and review created delays of up to four weeks, forced the department to hire temporary help or pull staff from other areas, and slowed admission and transfer-credit decisions.
By deploying Hyland’s OnBase with Brainware for Transcripts, the university automated template-free OCR capture and import into its PeopleSoft SIS. The solution cut peak processing time from about four weeks to one, eliminated the need for extra hires, allowed two staff to manage the workflow, and sped admissions decisions, transfer-credit posting and earlier advising—with improved remote access during the pandemic.
