Colonial Savings, F.A.’s CU Members Mortgage division faced a sudden compliance challenge when new HMDA rules required its 500+ credit union clients to perform their own reporting, forcing a large-volume exchange of loan documents that their existing OnBase portal and manual methods (FTP, CDs, thumb drives) couldn’t handle efficiently or securely.

Working with partner IDT, Colonial deployed Hyland’s cloud-based ShareBase integrated with OnBase workflow automation to automatically create and populate secure ShareBase folders (triggered by loan events and metadata), provide portal-based access for credit unions without IT involvement, and maintain permissions and audit trails. The solution eliminated manual processing (avoiding the need to hire about 20 people), sped delivery, improved security and visibility, and boosted customer service—becoming a competitive differentiator with potential to expand across other departments.
