An Australian leader in agriculture and resources with more than 170 offices across seven countries faced fragmented information after years of acquisitions: legacy document systems, hard-copy records and locally stored files left health and safety and other critical policies out of date, increased OH&S risk and put intellectual property at risk. The organisation recognized a cultural as well as technical problem—employees needed to trust a single, controlled system for documentation and workflows.

Over a two‑year, eight‑stage program the company consolidated document systems onto OnBase, starting with health and safety, standardising policies, automating review workflows and enforcing access controls while integrating with core systems like SAP. Early results delivered a single source of truth, better metadata and search, improved visibility of documents up for review, reduced risk and increased governance; the rollout will expand to other departments and is expected to serve roughly 1,500 users by project end.
