A Hayes Software Systems Case Study
Dallas Independent School District, the 14th largest district in the U.S. with 224 schools and about 160,000 students, faced unreliable textbook inventory practices—an outdated DOS system, campus spreadsheets and paper records, a $300,000 loss at one school, and even a threatened lawsuit over delayed student materials. District leadership charged the new Manager of Textbook Services with overhauling inventory policy and systems to restore accountability and ensure students and teachers received required instructional materials.
The district implemented TIPWeb-IM from Hayes Software Systems to provide real-time, district‑wide asset tracking, simplify transfers between warehouse and campuses, and increase transparency by tying campus accountability to principal evaluations. The change cut inventory tasks from minutes to under 30 seconds, moved ordering to an electronic central catalog, freed staff to focus on other initiatives like digital licenses, and saved the district nearly $1 million ($960,000) by eliminating unnecessary replacement purchases while improving timely distribution of materials.
