Advancing Improvement in Education (AIE) transformed the former Texas School Improvement Conference into a forward-looking annual event, but faced the challenge of replacing its bulky paper program and managing frequent last‑minute schedule changes. After a printing mishap forced them to try a mobile guide in 2013, the team needed a reliable, self‑service solution that would let them update content on the fly while keeping attendees informed.
AIE adopted Guidebook to deliver session listings, personalized schedules, maps, push notifications and linked materials, backed by a strong pre‑event promotion plan and onsite help. The move produced dramatic results: roughly 2,500 attendees generated 2,609 app downloads (about 100% adoption), attendee approval rose to 91% with 93% using the guide regularly, printing costs were slashed (previously over $20,000), and staff could make immediate program changes that improved attendance and satisfaction.
