College of Medicine Sees a Cost and Resource Savings in Moving from Case to ClinCard

A major college of medicine that issues roughly $1 million a year in clinical trial participant stipends faced a costly, risky and time-consuming reimbursement process. Finance had to prepare bags of petty cash for study coordinators, who spent full days collecting funds and manually recording transactions — diverting both finance and coordinator resources away from core research activities and creating security and reconciliation challenges.

Starting in 2012 the institution rolled out Greenphire’s ClinCard reloadable debit card, and participants and staff quickly embraced the change. Funds are loaded almost immediately and cards can be replaced if lost, reducing risk and delay; today about 75% of reimbursements are automated. The finance team reclaimed time for budgeting and reporting, coordinators refocused on study work, and the college achieved significant time, cost and resource savings with ongoing Greenphire support during expansion.
