City of Allen's Transformation of Records Management With Gimmal Physical™

City of Allen, TX, faced a fragmented records environment when Records Management Specialist Reggie Searles inherited an unstable RCAMS setup made of three different software systems that frequently crashed, disrupting departments from Parks and Recreation to Community Services. Seeking a replacement, the City evaluated and selected Gimmal and its product Gimmal Physical™ after a demo and budget review.

Gimmal implemented Gimmal Physical™ across roughly 20–25 departments to centralize management of about 3,000 boxes, providing a user-friendly interface, robust Help menu, and prompt vendor support that simplified training and troubleshooting. The result, according to Reggie, was a reliable, easy-to-use system that “shaved off years of work,” made records easy to locate months later, and materially improved the City of Allen’s records-management efficiency.
